Vending Excel templates The load list and cash collection, in a spreadsheet.

Two ready-to-use templates: one tells you what to take from the warehouse before your route, the other whether the cash adds up every time you empty a machine. They come with a made-up example so you can see how they work.

Free, no sign-up No macros Excel, LibreOffice, Numbers or Google Sheets

Load list

You enter what is left in each slot and it tells you how many units of each product to load, in full cases and loose units, for the machines you visit today.

  • Your products, with the units each case holds.
  • One sheet per machine: it comes with four, and you can duplicate them.
  • It only adds up the machines you tick for today.

Cash collection sheet

From the counters, what was paid by card and the cash you count, it works out what should be in the cash box and turns red when money is missing.

  • One row per collection, machine by machine.
  • You decide what difference you accept.
  • A summary of what each machine has taken.

The load list, step by step

Ten minutes the first time. After that, just what is left.

  1. Enter your products

In the «Products» sheet, one row per product with the units each case holds. You only do this once.

  2. Describe each machine

In each «Machine» sheet, one row per slot: the code, the product (picked from a list), the price and the capacity.

  3. On route day, note what is left

Enter in «Left» what is in each slot, or what you estimate is there. The «To load» column fills itself in.

  4. Tick today's machines

In «Load list», put «Yes» under the ones you are visiting. It tells you how many units of each product to take and how many full cases that makes.

An example

Two machines on Tuesday: 49 units.

This is the example the template comes with: a gym and an office. The list adds up what is missing in both and turns it into cases.

The cereal bar does not appear: its slot was full.

To be honest

Where a spreadsheet falls short.

You fill in what is left

The sheet does not know how fast each slot sells: either you count in front of the machine or you guess. Repónlo works it out from what you left on the last visit and each slot's sales rate.

No expiry reminders

You can write dates down, but nobody reminds you on the day. Repónlo flags the lots that expire in the next 30 days.

One copy per person

If there are two of you, you end up with two versions of the file. In Repónlo everyone signs in with their own user and works on the same data.

Questions

About the templates.

Do they have macros?

No. Only ordinary formulas (IF, SUMIF, COUNTIF), so they open without security warnings and work the same in Excel, LibreOffice, Numbers or Google Sheets.

How do I use them in Google Sheets?

Upload the file to Google Drive and open it with Google Sheets. The formulas and drop-down lists are kept.

I have more than four machines. What do I do?

Duplicate a «Machine» sheet, rename it and add its column in «Load list» by copying the formula from the one next to it.

How do I know what the machine sold, for the cash collection sheet?

From the machine's sales counter, which shows the total sold in money. Your payment provider tells you what was paid by card. We explain it in how to reconcile the cash.

Do I have to sign up to download them?

No. Click and the file downloads: no email and no account.

Can I move my data to Repónlo later?

Yes. The «Products» and «Machine» sheets have the columns its import recognises: you upload the same file, first for the products and then for each machine.
